How we handle your information

Last updated: January 2024

Look, we're not fans of legal jargon either

Running an architecture studio means we collect some info about you - nothing sketchy, just the basics we need to do our job right. We thought we'd lay it all out here in plain English so you know exactly what's happening with your data.

What we actually collect

When you reach out to us or work with us, here's what we typically gather:

  • Your name, email, phone number - y'know, so we can actually get back to you
  • Project details and property info you share with us
  • Correspondence between us (emails, meeting notes, that kind of thing)
  • Payment and billing details if we're working together
  • Website usage data - pretty standard stuff like which pages you visit

What we do with it

We're not selling your info to random companies or bombarding you with spam. Here's the real deal:

  • Responding to your inquiries and keeping our conversations going
  • Managing projects and delivering the services you've hired us for
  • Sending invoices and handling payments (gotta keep the lights on)
  • Occasionally sharing updates about our work - but only if you're cool with it
  • Meeting legal requirements and protecting both our interests

Who else sees your info

Sometimes we need to loop in other folks, but we're picky about it:

  • Engineering consultants, contractors, and other professionals on your project
  • Our accounting and legal advisors (they've got their own confidentiality rules)
  • Service providers who help us run the business - hosting, email, that sort of thing
  • Government bodies when there's a legal requirement

We don't just hand over your data willy-nilly. Everyone who gets access has signed agreements to keep things confidential.

Cookies and website tracking

Yeah, our website uses cookies - not the chocolate chip kind, unfortunately. They help us understand how people use the site and make it work better. Most are harmless analytics stuff. You can disable them in your browser if you want, though some features might not work as smoothly.

How long we keep your data

We hang onto your information for as long as we're working together, plus a reasonable period after that. For project files, we typically keep records for 7-10 years - partly because we like looking back at our work, but mainly because professional regulations and potential liability issues require it. If you want us to delete something specific, just ask.

Your rights

This is your data we're talking about, so you've got some say in what happens:

  • Ask to see what info we've got on you
  • Request corrections if something's wrong
  • Tell us to delete your data (with some legal exceptions)
  • Opt out of marketing communications anytime
  • Get a copy of your data in a usable format

Just shoot us an email at info@valorquinthorin.info and we'll sort it out.

Security measures

We take reasonable precautions to protect your information - encrypted connections, secure servers, limited access to sensitive data, that kind of thing. But let's be honest, no system is 100% bulletproof. We do our best, and we'll let you know ASAP if something ever goes wrong.

Changes to this policy

Laws change, our business evolves, and sometimes we need to update this stuff. When we do, we'll post the new version here and update the date at the top. For major changes, we'll give you a heads up via email.

Questions or concerns?

If something here doesn't sit right with you, or you've got questions, just reach out. We're human beings running a design studio, not some faceless corporation. We'll do our best to address whatever's on your mind.
